A guest joining from a laptop still needs to feel part of the event. We prepare their connection, sound, slides and cues, then bring them into the room and the broadcast at the right time.
The remote guest needs to hear the host, know when they are on air and understand what the audience can see. Your room needs their picture and sound without an echo. We plan both sides and test the connection before the session.

A practical check before the event
We check the guest’s camera, microphone, lighting and connection in the location they will use. Headphones can help prevent echo. The guest receives clear joining instructions, a contact for help and a plan for what happens if their connection drops.

Slides, cues and the view back to the guest
Agree whether the presenter advances slides or the production team does it. Decide what the guest needs to see and hear while waiting and when speaking. A rehearsal covers introductions, slide changes, questions and the handover back to the host.

A backup for the message
For a critical presentation, consider a prepared recording that can be played if the live connection fails. Keep slides and approved speaker details with the producer. We agree the fallback with your event team so the host knows how to keep the session moving.
Is a video question the same as a remote speaker?+
No. A video question is a recording submitted for review. A remote speaker joins a live conversation through a separate connection with the production team. We can plan either or both.
Can you use our existing meeting platform?+
Tell us which platform your organisation uses and any access restrictions. We confirm how it connects to the broadcast and venue sound, then test it with the guest.
How much rehearsal time does a guest need?+
It depends on their setup and role. A short interview needs different preparation from a keynote with slides or a multi-person panel. Your producer schedules the check around those requirements.
