Start with what members need to do.
Watching a meeting, asking a question and casting a vote are different activities. Define each part of the member experience before choosing the platform. Your meeting organisers should confirm the governance requirements; the production brief should explain how the agreed experience will be delivered.

A broadcast that follows the meeting
Provide the agenda, speaker list, presentation files and expected running time. Plan camera coverage of the chair and presenters, clear sound and legible slides. Confirm who cues the production team when the meeting moves between reports, questions and other business.

Member questions and hybrid participation
Agree how written and spoken questions will be handled, who moderates them and how remote contributions return to the room. Give the chair a clear process and rehearse it. Member joining instructions should explain the actual participation options available.

Formal AGM voting, as an add-on
For meetings that need binding votes, JPC can add formal voting to the event page. Your secretary loads the register of members entitled to vote, records proxies and approves the settings: who may vote, voting weights, proxy rules, quorum and passing thresholds, set to your constitution. Members vote online with a personal link or a one-time code, or in person after check-in. Each entitlement counts once on each resolution, ballots can be recorded or secret, the chair opens and closes voting, and results and audit records are ready to export. Registering to watch never gives anyone a vote.

Can members vote at the AGM through your event page?+
Yes, with our AGM voting add-on. Online and in-person members vote from one register of entitlements, with proxies, secret or recorded ballots, chair-controlled voting, quorum tracking and exportable results and audit records. Your secretary sets and approves the rules from your constitution; the standard audience polls stay for feedback only.
Can JPC work alongside our AGM platform provider?+
Share the provider and meeting requirements with us. We can discuss supplying the program feed, returning remote questions to the room and coordinating a rehearsal. Compatibility and responsibilities need confirming for the selected platform.
Who confirms the meeting requirements?+
Your organisation’s secretary and advisers confirm the rules: eligibility, proxies, quorum and thresholds under your constitution and the legislation that applies to you. The voting settings can’t be used until your secretary approves them. We turn the brief into a production plan and rehearse the broadcast, chair cues and voting with your team.
